Maternity Cover: Project Support Manager

Salary: Competitive - to be discussed
Role duration: Minimum of 6 months - up to 12 months.
Location: 60% time office based at Brough / 40% site based (Will vary dependant on projects)
In this role you will be working closely with the company Directors, Project and Site Managers.
You will report to the Operations Director.
Must drive and have own car
DBS required (If you don’t have, you can apply through Helix but passing will be a prerequisite)
Skills for job role
Proficiency in internet applications and MS Office Software (Outlook, Excel, Power Point, Word). Familiarity with ProCore & Citation – Advantage but not essential
Proficiency with English language including effective oral and written communication skills is a must.
Ability to interact effectively with all levels of the organisation as well as Client Facing in a fast-paced environment.
Comfortable working onsite in a construction environment.
Ability to manage multiple, simultaneous, competing priorities relative to overall corporate, client, and project needs and success with limited direction / oversight.
Self-starter with ability to work in both team and individual environments.
Takes initiative in ensuring activities are complete and scheduled deadlines are met.

Job responsibilities
Project set up and maintenance:
Procore:
Ensuring that the project is set up on Procore ( our contract management system) including site files, uploading drawings and specifications.
Printing and delivering safe systems site files for the project.
Managing drawings and specifications on Procore.
Inviting key stakeholders, subcontractors to Procore and ensure they are on the distribution lists for all new items.
Project support:
Attend meeting and take meeting minutes along with developing the action log and share with all parties.
At the end of the project you will be archiving project documentation.
Assist project team members in any duties which enable project delivery.
Assis with site specific inductions / Health & Safety Training Onsite / Site Signage / PPE.
Responsible for administrative functions such as word processing for Project Managers on correspondence and project paperwork. Preparation and distribution of printed materials for meetings.
Coordinates and attends weekly production meetings and project kick off meetings. Takes minutes and distributes minutes and updates milestone reports. Reviews project requirements and prepares internal questions / other items for discussion / clarification in client initiation.
Assists Project Managers with submittals and ensures secure mailing and distribution through Procore.
Maintains project files and performs project file archival.
Maintains detailed paper and electronic filing systems, including subcontracts, PO’s, contact lists, contract logs, drawing lists, etc. within Procore
Supports client/project security / background check process
Supports data entry and document management in Procore, various project management spreadsheets, etc.
Operational and Maintenance Manuals:
Working collaboratively with the client to produce the health and safety and O&M’s files for handover in the correct format for the client. This would include;
1. Health and safety information for the project
2. All test and commissioning
3. All general maintenance guides and data sheets
4. All as built drawings for the full project
Collaborative working with the our partners:
Collating data for the social value platform and procurement consultants
Attending meetings and webinars with theses partners to keep up to date any changes.
Submitting data for reports.
Citation:
Creating reports annually alongside our Operations Director.
Tracking of all training, CSCS, qualifications and DBS checks for compliance.
Clarity around who is accountable for Citation overall within the business.
Creating reports as instructed by the Operations Director.
Health and Safety:
Compilation of Health and Safety File for integration into O&M’s.
Chas and Construction Line:
Keeping the documentation up to date such as insurances, financial, and health and safety documents.
Clarity around who is accountable for CHAS / Constructionline
Tasks to complete will be instructed by the Operations Director
